This notice covers website enquiries, professional correspondence and personal information handled in connection with assessment, rehabilitation, capacity and expert-witness services. More specific information may also be provided when a referral or instruction is accepted.

Information collected

What information may be collected?

Depending on the nature and stage of an enquiry or referral, this may include:

  • names, contact details and professional or organisational details;
  • information included in an enquiry or professional instruction;
  • referral, clinical, health, social, educational, employment or legal information;
  • assessment findings, correspondence, reports and working records;
  • billing, payment and administrative records; and
  • limited technical information required to operate and secure the website.

Information may be received directly from the person concerned or from referrers, solicitors, case managers, healthcare professionals, family members, courts or other parties involved in the work, where there is a lawful basis to receive it.

Please do not send medical records or detailed clinical information by ordinary email.

Appropriate secure arrangements will be agreed if sensitive documents are needed.

Purpose and lawful basis

How and why is information used?

Personal information may be used to:

  • respond to enquiries and consider whether a referral can be accepted;
  • provide agreed clinical, assessment, rehabilitation or expert services;
  • communicate with relevant individuals and professional teams;
  • prepare reports, recommendations and professional opinions;
  • manage appointments, accounts, insurance and practice administration; and
  • meet professional, regulatory and legal responsibilities.

The applicable lawful bases under UK data-protection law may include taking steps at your request before entering a contract, performance of a contract, compliance with legal obligations and legitimate interests in operating a safe and accountable professional practice.

Health information and other special-category data are handled only where an additional legal condition applies. Depending on the work, this may include the provision or management of health or social care, the establishment, exercise or defence of legal claims, or explicit consent where that is appropriate.

Sharing, storage and retention

Who may receive information?

Information is not sold. It is shared only where necessary and lawful—for example, with the person who commissioned the work, relevant professionals or services, courts or legal representatives, professional advisers, insurers, regulators, or carefully selected service providers supporting the practice.

The intended recipients of an assessment or report, and any limits to confidentiality, will normally be explained as part of the referral and consent process. Information may also be disclosed where required by law or where necessary to address a serious risk of harm.

Reasonable technical and organisational safeguards are used to protect information. Where a service provider processes information outside the UK, appropriate legal safeguards will be used where required.

Records are retained only for as long as necessary, taking account of the purpose of the work and applicable clinical, legal, regulatory, insurance and professional requirements. They are then securely deleted or destroyed.

Your rights

Your data-protection rights

Depending on the circumstances, you may have rights to request access to your personal information, correction of inaccurate information, erasure or restriction, objection to particular uses, or transfer of information you provided. You may also withdraw consent where consent is being relied upon.

Some rights are subject to legal exemptions—for example, where information must be retained or where disclosure would adversely affect another person’s rights.

Please contact Hutton Neuropsychology first if you have a concern. You also have the right to complain to the Information Commissioner’s Office.

Cookie policy

Cookies on this website

This website does not currently use analytics, advertising or marketing cookies. It is designed to work without setting non-essential cookies, so there is presently no cookie-consent banner.

The hosting service may process limited technical information, such as IP address, browser type, requested page and date or time, to deliver and protect the website. This does not involve Hutton Neuropsychology using that information to create advertising profiles.

If non-essential cookies or similar technologies are introduced later, this policy will be updated and an appropriate consent control will be provided before they are used.
